A growing team put Tina Fleming, Managing Director at Boekestijn Ireland, in the market for a new office. But finding the time and the new premises turned out to be harder than anticipated until Alvin Office Advisor, Matthew Coakley, guided the otherwise logistic-savvy Tina to the right serviced office.

The reason Tina started looking for a new workplace was that another hire was joining her team. 

“I needed a new office because there was a new staff member joining me. So I was looking for a place that could accommodate the immediate growth, but also had the option for scaling up in the future – if needed.”

The paradox of choice: “I was getting frustrated”.

So the plan was clear. Find a new office space with room for growth, without needlessly spending the company’s money: “I’m very frugal with company money.” But finding offices was easy – too easy actually. 

“I started looking for an office on my own, but I was quickly overwhelmed. That’s the truth. Once you go online, there are too many available in all different sizes, but not in the areas I wanted. I didn’t know where to go. It turned out to be very hard to hone in on what I really wanted.”

“Overall, it wasn’t a good experience. I was getting frustrated that I didn’t find anything. At the same time, I have an everyday job to do, and that does not include finding an office. I’m really good at logistics, but I wasn’t very good at finding an office.”

But the deadline for when she needed the new office was fast approaching – just two months away. This was when Tina got in contact with Alvin and our office advisor Matthew Coakley.

“Matthew brought a few options to the table. But I have to say that the thing I liked the most was that he asked me questions that nobody else had asked me. He asked: “What did I want from the office? What would make my work life happier? What my ideal office would be?”

Matthew Coakley an avid cyclist in his spare time was able to help Tina find a space that suited her needs for growth.

“It was the simplest, simplest thin Matthew did, but at that moment he got me and he got the business. I immediately trusted him. I suppose the joy of using your company is that I was given options based on my needs.”

This is a common issue for companies. Few job descriptions include “Office hunter”. Which is why it’s often given a low priority until the need is imminent. Just like Tina’s had become. Coakley set up viewings at different locations and handled all the communication for her. 

“The first one was too big, the second one was too small – I felt like Goldilocks.” Tina laughs: “But the third one was just right.” 

“As a small SME, you need to get someone else to do the legwork for you when looking for an office. Alvin are experts when it comes to offices. I would encourage people to seek advice from experts like you when they look for an office.”

The devil’s in the office detail

When I talked to Tina she had just finished unpacking her moving boxes in her new offices at Digital Office Centre, Swords. There were a number of reasons why this location was just right for her. 

Swords Business Centre is beautifully located in lush greens surroundings.

“The office manager, Ciara, is super-efficient. If there was a problem with the internet she had an internet advisor on-premises the next day. The last office I was in I had to be very hands-on with chores like that.” 

“It’s much easier to scale up and down. They will knock down a wall for us or move us to a larger office if needed. There is room to grow here. And that was one of the things I really liked when I was here for the viewing.”

“The level of the service and the facilities. The cleaning is taken care of and the interior design is very modern and impressive. I can now have people come and see my office. I have access to ‘huge company’  facilities, without being one. It looks like we’re spending a fortune, but we are not.”

But beyond the service, the possibility of scaling and the excellent facilities Tina found out in her talks with Matthew that being closer to home was really important. 

“Actually, I’d like to be able to go home by lunchtime and walk my dog. That ended up being one of the biggest upsides of the Digital Office Centre.“
